What is Form, fit and function?

The FFF principle comes from configuration and spare parts management. A part is considered FFF-interchangeable if it can replace the original without changes to the surrounding design. Form stands for dimensions, geometry and weight, fit for interfaces such as fastening, connections, pin assignment and tolerances, and function for performance, ratings, signals and behaviour in operation.

FFF is particularly important in the case of discontinuations and supply shortages. If a manufacturer offers a successor product as an FFF replacement, it can usually be installed directly. For alternative parts from other manufacturers, equivalence must be checked in all three dimensions. Approvals, material compliance, software and firmware versions or certificates are not automatically covered; these must be assessed separately.

In maintenance, FFF approval speeds up procurement considerably, because no design change and no new acceptance is required. If full interchangeability is lacking, this is referred to as a restricted replacement, which requires adaptations and must be technically approved. Every approval should be documented in a traceable manner.

In practice: maintenance and procurement

In the event of discontinuations, the supplier should explicitly confirm whether a successor part is FFF-compatible or what deviations exist. This information, together with the approval note, belongs in the master data so that future orders are possible without a fresh review.

Frequently asked questions

What does form fit function mean?

Form fit function means that a spare part matches the original in three respects: in its external shape and dimensions, in its mounting and connection interfaces and in its function. A part that is interchangeable in this way can be installed without changes to the machine, wiring or software and is therefore also called a drop-in replacement.

Is an FFF spare part identical to the original?

Not necessarily. An FFF replacement fulfils form, fit and function but may differ in material, internal design, manufacturer or components. For most applications, this is not critical. In regulated or safety-relevant areas, approvals, certificates and evidence of conformity must also be checked before the replacement is approved.

How do you check whether an alternative part is FFF-compatible?

Data sheets and drawings of the original and the alternative are compared: dimensions, weight, fixing points, connections, pin assignment, electrical or mechanical ratings, ambient conditions and interfaces. Deviations are assessed and documented. In case of uncertainty, an installation and functional test follows before the part is generally approved.

What is the difference between FFF and an alternative part?

An alternative part is any part that can be considered as a replacement for the original, even if adaptations are necessary. FFF is a quality characteristic of this interchangeability: an FFF-compatible alternative part fits without any change. If only function is matched, but not form or fit, modifications and a technical approval are required.
